Introduction
The Geotab and Toyota/Lexus Integrated Solution seamlessly transmits key vehicle data points and relevant fleet indicators from Toyota/Lexus vehicles to MyGeotab, Geotab’s open and expandable fleet management platform. This document contains all the essential information that you, the Partner, need to use the Geotab and Toyota/Lexus Integrated Solution.

Getting Started
Before you can use the solution, you must obtain a valid VIN, register the devices in MyAdmin, and add the devices to the MyGeotab database. To get started, follow the steps outlined in the following sections.
Step 0 — Privacy settings
Privacy settings can be adjusted either through the “MyToyota” / “LexusLink+” or directly in the vehicle’s head unit. For step-by-step instructions, refer to this link.
If the privacy settings are not configured correctly, GPS data will not be available in the MyG system, potentially limiting some features. Make sure to review and adjust these settings during the activation process to ensure all systems operate as intended.
All vehicles are affected: all vehicles built after June 2023 and older vehicles via OTA update.
Step 1 — Validate VINs
Validate vehicles on the Vehicle Eligibility page:
1 | From the MyAdmin main menu, navigate to Vehicle Eligibility. |
2 | Enter one or more VINs or specify a make/model/year. Select Europe in the Region dropdown. |
3 | Click Search. |
If the OEM provides an API to check the eligibility of their vehicles, the result will appear immediately.
If one or more vehicles in your search requires a manual check for OEM embedded services eligibility, the OEM Embedded Eligibility banner is displayed.
Select Request OEM eligibility check to request a manual check. A support ticket is created on your behalf and can be viewed via Support > Helpdesk Tickets. You will also receive an email from Geotab to confirm that we have received your request.
If you have any issues with this process, please send an email to including the list of VINs
✱ NOTE: Please wait until vehicle delivery to check OEM telematics eligibility to ensure accuracy and avoid false negatives.
Step 2 — Register third-party devices on MyAdmin
A valid telematics device serial number is required to use the Geotab andToyota/Lexus Integrated Solution with MyGeotab. Geotab has established a process on MyAdmin that allows Partners to register third-party devices and obtain a valid serial number.
To register third-party devices, follow these steps:
1 | Log in to MyAdmin. |
2 | From the main menu, navigate to Devices > Device Admin. |
3 | Select Register Third-Party Devices. |
4 | On the Register Third-Party Devices popup window, enter the required information in the Account and Number of Devices fields (for example, the number of vehicles you want to register). |
5 | Enter the following code in the Product Code field: 10182.

6 | Select Submit to download a CSV file with allocated serial numbers (starting with “I8”) |
The MyAdmin order process is complete. After you receive third-party serial numbers, complete the next step in MyGeotab to start using the solution.
✱ NOTE: For this solution the Subscription plan doesn’t need to be selected.
Step 3 — Add device(s) in MyGeotab
! IMPORTANT: You must provide the VIN when adding device(s) to MyGeotab.
Adding a single device
To add a single device to your MyGeotab database, follow these steps:
1 | Log in to MyGeotab. |
2 | From the main menu, select Assets. |
3 | On the Assets page, select + Asset and Add single asset. |
4 | On the Add single asset page, enter the Asset name (such as [Make][Model][Year] or the driver’s name), the serial number that you received from Geotab in the Serial number field, the vehicle ID number (VIN) of the vehicle and select an Asset type group.

5 | Select Save new asset. |

6 | Once complete, turn on the vehicle ignition to complete the process. |
Adding multiple devices
To add multiple devices to your MyGeotab database, follow these steps:
1 | Log in to MyGeotab. |
2 | From the main menu, select + Asset and Add multiple assets. |
3 | On the Add Multiple Assets page, upload a spreadsheet with the list of asset information following the instructions in the template or use the Quick upload option (upper right corner). |
4 | ✱ NOTE: You must provide the Serial Number and VIN to add Toyota/Lexus telematics devices in MyGeotab. |
5 | Select Save all assets. |
6 | Once complete, turn on the vehicle ignition to complete the process. |
! IMPORTANT: Only add the device to a single database, and provide VINs you are authorized to view.
✱ NOTE: It may take up to 24 hours for the vehicle data to become available in MyGeotab after you add the devices to the database.
Using the Solution
1 | After adding the devices to MyGeotab, navigate to Assets |
2 | Search for the vehicles using Name, VIN or Serial Number. |
3 | Select an asset and check the Odometer value. |

Frequently Asked Questions (FAQs)
Billing
Will I be billed by Geotab or Toyota/Lexus?
While the solution uses the Toyota/Lexus embedded telematics device, you will be billed by Geotab.
How do I choose a Rate Plan for the device?
There is only one Subscription Plan for Toyota / Lexus vehicles that will automatically be selected when registering third-party devices on the Device Admin page in MyAdmin. For more information on subscription plans, refer to the Data Set document. To view pricing options, navigate to Billing > Rate Plans in MyAdmin.
When does billing begin?
Billing begins when the device is added to MyGeotab and starts receiving data from Toyota/Lexus. The solution will be billed at the end of every month.
Managing Toyota/Lexus devices
How do I identify Toyota/Lexus devices in MyAdmin?
View Toyota/Lexus devices in MyAdmin under Devices > Device Admin > Look up Devices.
All Toyota/Lexus device serial numbers start with “I8”.
Can I use the “Replace with new device” function in MyGeotab?
GO devices can be replaced by OEM devices by using the Replace with new device option in MyGeotab. The Replace with new device option can only be used when moving from a GO device to an OEM device, it cannot be used to replace an OEM or third party device with a new OEM device.
! IMPORTANT: To update an OEM or third party serial number, the older OEM device must be terminated in MyAdmin, and unplugged in MyGeotab using the Unplug device > Keep Active option. Once unplugged, the new OEM serial number can be added on the asset page using Add device > Save new asset option.
How do I terminate a Toyota/Lexus device?
Toyota/Lexus devices can be terminated in MyAdmin by following the standard device termination process.
- Identify your devices under Devices > Device Admin > Look up Devices.
- Select the devices to terminate and select Change Plan.
- Select Terminate Mode. The devices will be terminated on MyAdmin.
✱ NOTE: After this step is complete, we recommend that you terminate and archive the devices from MyGeotab as well.
What happens if I terminate a Toyota/Lexus device in MyAdmin?
Billing stops as soon as a device is terminated. To complete the termination process, remove the device from the MyGeotab database or make it historic using the Archive Asset feature.
I terminated the Toyota/Lexus device, can I use the solution again for the same vehicle?
Terminated OEM serial numbers cannot be used again. To reactivate a device, create a new Serial Number by repeating the steps in the Register third-party devices in MyAdmin and Add device(s) in MyGeotab section to register and add a new device.
Can I change the Toyota/Lexus Device Plan or VIN after it has been registered?
As soon as more plans are available, the Device Plan for the same VIN can be changed under the Device Admin menu on MyAdmin.
For new VINs, repeat the steps in the Register third-party devices in MyAdmin and Add device(s) in My Geotab section to register and add a new device.
Does standard Geotab Warranty or RMA Policy apply to Toyota/Lexus devices?
The Geotab Warranty and RMA Policy do not apply to Toyota/Lexus devices. The hardware on the Toyota/Lexus devices belongs to Toyota/Lexus, so the Toyota/Lexus policy for hardware warranty and repairs will be applicable.

Getting help
I cannot see device data on MyGeotab. What are some initial troubleshooting steps I can perform?
As a Geotab Partner, follow these preliminary steps:
- Check if the serial number prefix is correct (I8). If not, terminate the device and start the process again.
- Review the device information in MyGeotab to make sure the VIN was added.
- Confirm with the Customer that the vehicle has been moving.
Who do I contact for support?
! IMPORTANT: Geotab is limited to supporting issues around MyGeotab and MyAdmin. Any issues that require escalation to Toyota/Lexus may require assistance from the vehicle owner.
As a Geotab Partner, if you have used all applicable troubleshooting resources, please contact Geotab Support.
✱ NOTE: Geotab is unable to support Accident Reconstruction requests for OEM devices.
How do I contact support?
If you have an issue that requires technical support, contact Geotab Support. To streamline the process, specify the category as Third Party Hardware and provide both the serial number and VIN as part of the issue description.
If Geotab Support determines that the issue is not related to a Geotab service, we will refer to support material provided by Toyota/Lexus. If required, we will escalate the issue and work with you on a resolution.
It has been determined that my device does not work. What should I do?
The factory embedded hardware is covered under the Toyota/Lexus Vehicle Warranty. If your device does not work, go to an authorized Toyota/Lexus repair center for evaluation.
