Introduction
Ordering IOX Keyless means you are purchasing the IOX-KEYLESS hardware fully integrated with your vehicle keys, which is a service performed by Geotab in Oakville, Ontario, Canada, and is available to customers in the United States and Canada.
An alternative option is to purchase the IOX Keyless hardware without the key integrated by Geotab. This SKU is IOX-KEYLESS-NK (IOX Keyless with No Key), which is not covered in this documentation.
! IMPORTANT: If you are a Partner about to order IOX-KEYLESS as the first step, STOP! Read the steps below.
Before you start
- Order Extra Keys: Ensure the customer purchases additional vehicle keys before starting this process. Note that for many vehicles, when you buy a new key, all keys must be present to program new ones.
- Once a key is embedded in IOX Keyless, presence for reprogramming is much more challenging, and not always feasible.
- ! IMPORTANT: If all keys are reprogrammed except for the one in IOX-Keyless, then IOX-Keyless for the vehicle will no longer function.
- Embedded key fobs are not recoverable: The process of embedding the vehicle key fob into IOX- Keyless is irreversible. Geotab cannot return the key fob back to its original state. All components of the host vehicle key which are not integrated into IOX Keyless are properly disposed of at Geotab facilities.
- Keep it small: Geotab has limited capacity, so please limit orders to 100. Larger quantities should be handled by securing local embedding services and ordering the IOX-KEYLESS-NK. Geotab is working towards having official partners to perform this service in the United States.
- Unsupported vehicles: The following vehicles are unsupported, and unfortunately cannot be supported in your Keyless shared fleet:
- Ford F150 (2013 and 2014)
- Ford Expedition (2016)
- Ford Explorer (2019)
Steps
Step 1: Partner orders SPR-QRTAG in MyAdmin
The SPR-QRTAG is used to uniquely associate a key with an IOX-Keyless. The IOX-Keyless hardware cannot be ordered without the unique code from the SPR-QRTAG.
- Check the list of unsupported vehicles to ensure the solution is supported.
- In the MyAdmin store, order one SPR-QRTAG per key to be assembled into IOX-Keyless.
- The shipment is typically delivered to the customer in about 1 week.
Step 2: Customer attaches SPR-QRTAG to each key fob & tracks vehicle information
The customer attaches an SPR-QRTAG to each key fob. For each key fob and QR code on the SPR-QRTAG, the customer tracks vehicle information and sends this to their Partner contact before ordering IOX-Keyless in MyAdmin.
- Partner: Download the vehicle form in CSV format as described in the document for the customer to fill in. CSV is a common format which can be edited in most spreadsheet applications.
- Customer: Enter data, one row per vehicle/key fob, and save as a CSV file when finished. All fields are mandatory except Vehicle Name.
- Customer: Send the completed CSV sheet back to the Partner contact that will be placing the MyAdmin order. The customer does not yet send their keys to Geotab.
Step 3: Partner orders IOX-Keyless in MyAdmin
- Partner: In the MyAdmin store, order one IOX-Keyless for each vehicle specified in the CSV spreadsheet in the previous step. The amount of IOX-Keyless should match the number of key fobs and QR codes.
- Partner: During checkout, you will be prompted for the vehicle information that was provided by the customer in the previous step of the process. You can enter the vehicle information in one of two ways:
- Upload the CSV spreadsheet with vehicle information provided by the customer. Once uploaded, the information specified in the sheet will appear in the IOX-KEYLESS tab below.
- If the customer did not complete the vehicle information spreadsheet, you must get the vehicle information from the customer and then manually enter it in the IOX-KEYLESS tab.
- Reseller: Share the Order Number (for example: “ORD123456” or “ODR123456”) with the Customer, as it is required for the next step.
Step 4: Customer ships key fobs to Geotab
The customer packages their key fobs, while ensuring all of the following:
- The Order Number (example: “ORD123456”) is included. Some order numbers start with ODR instead of ORD - make sure the correct Order Number is specified.
- The set of key fobs have all of their SPR-QRTAGs attached.
- These must be the exact same key fobs that were submitted during the order with the vehicle information in Step 3.
- To reduce issues with ordering, this must be the same number of key fobs, and the same set of key fobs, matching the vehicle information submitted in the order by your Partner.
- Ship to the following address, making sure the order number is included:

- These shipping costs are not covered by Geotab. However, Geotab covers the shipping costs of the assembled IOX-Keyless to the customer.
Step 5: Geotab assembles key fobs into IOX-Keyless and ships to Customer
Geotab will ship IOX-Keyless to the customer as per the original Partner order in Step 3.
- How long does it take? From the customer shipping their keys to Geotab, to having them returned fully assembled into IOX-Keyless, expect about 4-5 weeks.
- ~ 1 week to ship to Geotab.
- ~2-3 weeks internally for Geotab to receive the keys, process the order and embed the keys into IOX-Keyless.
- ~ 1 week to ship to the customer.
Tracking order status - Internal Geotab Reference
Order status information is currently only available to internal Geotab employees.
Partners: Please contact your Geotab Partner Account Manager or contact if you have concerns with the order status.
For Geotab Employees: In MyAdmin, visit Devices > Keyless. Use the filters by Account or PO to locate the specifics for the IOX-Keyless order.
Verify the Status:
- Awaiting_Key_Reception: Geotab is waiting for the customer’s key shipment to arrive.
- Keys_Received: Geotab has successfully received the key shipment.
- Manufacturing: Geotab has accepted the shipment for key fob embedding or embedding is in progress.
- Shipped: IOX-Keyless with keys embedded has shipped to the customer.
Frequently asked questions (FAQs)
Do I need to know the vehicle information at the time that I order an IOX-KEYLESS for my customer?
Yes. An IOX-KEYLESS cannot be ordered without first providing the vehicle information. SPR-QRTAGs must be ordered in advance and given to the customer. Once the customer pairs the SPR-QRTAG to the vehicle information, an IOX-KEYLESS can be ordered and the information can be entered in MyAdmin.
Can I ship my vehicle’s key fob to Geotab without the SPR-QRTAG?
No. The SPR-QRTAG is mandatory. Without the SPR-QRTAG attached to the key fob, Geotab will be unable to pair the IOX to the intended vehicle. Keys sent to Geotab without an associated order will be returned to the customer.
Does Geotab cover the return shipping for the key fob from the Customer location back to the manufacturing facility?
No. Return shipping costs to Geotab must be covered by the end Customer or Partner. Shipping from Geotab to the Customer location of the completed IOX is accounted for in the ordering process for the IOX in MyAdmin.
Can I reuse the IOX-Keyless in another vehicle?
No. The IOX-Keyless is manufactured for one specific vehicle. During manufacturing, the vehicle’s key fob is taken apart and an epoxy is applied to the key to mitigate against theft. As a result, the IOX cannot be reused in another vehicle.
Is there any other equipment that I should ship to Geotab along with the vehicle key fob?
No. Only the SPR-QRTAG attached to the vehicle key fob needs to be shipped to Geotab. Be sure to include the Order Number (example “ORD123456”) with the package that is being sent.
Can I reuse a SPR-QRTAG for another order?
No. Each SPR-QRTAG is unique, and cannot be reused.
My vehicle key fob includes a bladed portion for access when the fob is out of batteries, do I need to ship this to Geotab?
No. The customer is able to keep this bladed portion. Geotab only needs the fob portion itself (PCB with buttons to actuate the vehicle doors).
